Introduction

Overview

 

Dream School Manager (DSM) is a powerful online school management system.  This system best serves "family-centric" community schools. 

In a family-centric school, parents register a family account with the school online. Parents then choose what courses to enroll their children in. Managing these types of schools provides a unique set of challenges compared with typical public schools. DSM is specifically designed to meet these challenges.

Dream School Manager has some exciting features for teachers, parents and students:

Teachers can assign homework and enter students' grades online

·         Parents can view homework assignment and students' grade report online

·         Parents can pay class registration using paypal online, or pay with check/cash

·         Parents can view registration and payment records of any past semesters

·         Students can join a wait list if a class is full - families are notified automatically when spaces become available

·         Students, parents, teachers and admins can each customize what appears on their homepage after logging in - for example, students can choose only to see their class pages setup by their teachers

·         Everyone can see the class size, number of students currently registered and wait list size if any

·         Teachers can contact students online, and students can contact each teacher individually

·         Teachers can create and update syllabuses online

·         Parents, teachers and students can participate in school forum discussions

·         DSM allows schools to dynamically setup classes online.

·         School admin can configure semesters with various dates and flexible fee items, including application fee, late fee, early registration discount, and 2nd child discount. Each fee may have an option of per family, per class, per student or per child student where applicable.

·         All semester records are stored in database. With a simple click, you can view data from different semesters.

Dream School Manager (DSM) is built on top of Drupal (drupal.org, the top Content Management System). DSM inherits all the powerful functions offered by Drupal system. All the web contents are dynamic. The menus, themes and page layout can all be customized for each site.

1. School Administrator

The site is delivered with a built in school administrator. The school admin has the power to manage all contents on the site.

The main task of a school admin is to setup semesters and courses. The main page for school admin is “School Admin => SA Main”. The URL is “http://[your-school-root-url]/sa”.

The typical steps to configure a new school site are: 1. Create a semester 2. Create new teacher accounts 3. Create locations (classroom locations) 4. Finally create the courses offered by the school.

1.1 Create a Semester

Click “Create New Semester” link on “School Admin => SA Main” page.

A semester has the following fields:

Title and Description: Fill in the title and description of the semester.

Early Reg. Date: if a family online register (enroll) for a course on or before this date, the school may apply a discount as defined in the next field.

Early Reg. Disc: this amount will be applied to a family who online registers for a course on or before “Early Reg. Date” as defined above. A value of “0” means no early registration discount.

Application Fee and AppFee Mode: your school can setup an application fee for a semester. If this value is not zero, then depending on the AppFee Mode, the application can be applied “per family”, “per student”, “per child students” or “per course”.

Start Date: School start date.

Late Fee Date and Late Fee: a family who makes their first payment after this date will be charged this late fee. (An admin has the power to wave this fee for a family, see payment processing section for detail)

Free Drop Deadline: A family can freely drop (un-enroll) any courses before this date, even if the tuition for the course is already paid. However, after this date, a family can still drop any unpaid courses, but the family cannot drop any paid courses. If a family needs to withdraw a paid course after this date, the family has to contact school admin to get it done. School admin may refund only a portion of the payment the family made for this course.

MultiChildrenDisc: This amount only applies if it’s not zero. A family will get a discount of this amount for each of the 2nd and more enrolled students.

Status: Indicate whether the semester is active or not. There can only be one “Active” semester. An active semester is the same as the “current semester”; which can also be set from the “School admin” page.

CreditCard Fee: Dream School Manager uses Paypal to process online tuition payment. Paypal charges the school a fee for each payment transaction. Your school may decide to charge families a credit card handling fee. For example, if this amount is set to 3.00. Then each family choose to pay online will be charged an additional 3% of their total payment amount.

Advanced Options – Legacy Registration

Legacy registration applies when registration gives priority to students who have registered in a predecessor class in the previous semester. It’s easier to explain with an example. Suppose student Wang took a course (CHN 01 – Book 1) last semester. The school offers CHN 01 – Book 2 this semester. A legacy policy would give favor to Wang to enroll in CHN 01 – Book 2 over students who didn’t enroll in CHN 01 – Book 1 in the last semester. We call this process Legacy Registration.

School can set a legacy registration period. During this time, if a course has a defined predecessor, then only students who enrolled in the predecessor last semester can enroll in this course.

Legacy Reg Date: date legacy registration starts

Legacy Reg Length: days legacy registration period lasts, 0 indicates no legacy period

Prev. Sem: allows admin to select which is the previous semester. (used for legacy registration)

1.2 Create a location

Click “Create Location” link on “School Admin=>SA Main” page. Fill in the title and description for the location (normally it is just the name of class room, such as LN-101).

1.3. Create Teacher Accounts

There two ways to create a teacher account.

1) If the person (a parent or student) already has a user account, then find the user account by following “School Admin=>School Families”, then follow the link for the person, press “Edit” on person’s account, and check “teacher” under “Roles”. Click on Save. This person is now a teacher for the school.

2) From “School Admin=>SA Main” page, click “Add New User”. Then fill in all the required information, remember to check “teacher” under “Roles”. The newly created user account will be a teacher.

1.4. Create Courses

Click “Create New Course” on “School Admin=>SA Main” page.

A course has the following fields:

Title: for example, CHN-01 中文 – 01

Description: Use this field to enter the basic syllabus information for the course.

Start Time / End Time: The input has to follow the exact format of “hh:mm AM/PM”, otherwise it may cause error. Example: 10:30 AM, 02:00 PM.

Location: select a class room location.

Teacher: select a teacher from the list.

Tuition: enter a tuition amount.

Capacity: enter maximum number of students allowed for the class.

Status: only “Active” course will show up for the current semester for enrollment.

Predecessor: the previous section of the same course (e.g. “CH-01 A” can be a predecessor “CH-01 B”) This is used for legacy registration.

1.5. Select Current Semester

On “School Admin=>SA Main” page; use the drop down list to select “Current Semester”. Then click “Save Config”. This is a very important operation. Setting the “Current Semester” will affect the entire site.

Important Note: School families course enrollment is based the “Current Semester” selection. If “Current Semester” is set to “Fall 08”, then all families will enroll courses for “Fall 08”. If “Current Semester” is set to “Spring 09”, then all course enrollments applies to “Spring 09” semester.

1.6. Viewing School Families

School Admin can any family records by following “School Admin => School Families”.

The status column indicates the enrollment and payment status of the family for the selected semester on the top of the page.

Once the admin clicks on a family link on “School Families” page; the admin will impersonate the family account holder of the family. School Admin can also update records of any family.

1.7. Making Payments

On the family enrollment page, the School Admin (or Treasurer) can see an “Admin Pay” button. The admin can use this button to make payment for the family. A payment type can be “Pay”, “Refund”, “Hold”, or “Discount”.

Pay: indicates a straight forward payment.

Refund: indicates refund is paid back to the family.

Hold: indicates school is placing a hold (additional charge, such as one time fine etc.) on the family.

Discount: indicates the school is giving the family a one time discount.

These 4 payment types provide the flexibility for school admin to handle various payment situations.

1.8. Viewing Reports

School Admin can view the general school reports by visiting “School Admin=>Summary Report”.

1.9. Group Emails

School Admin can send groups from “School Admin=>Emails”.

Currently there are 5 email groups:

1. All families

2. All teachers

3. Registered, but not paid families for the current semester

4. Partially paid families for the current semester

5. Registered or paid (including partial paid) families for the current semester

1.10 Viewing class roster

Any authenticated user can view the class roster by clicking “Class Roster” on the menu. The class roster lists all students in each class and also shows the payment status of each student.

1.11 Other School Admin Functions

·     Create a “static” page – use “Create New Page”, and it’s recommended that you provide a URL for this page (see Drupal Tips in next section).

·     View and update School Info – use “View School Info”, follow the link, bring up the school info page, and click Edit. The information you enter here will be used in other places. For example, “Family Registration Slip” will print out school information on the top of the page, so the school can mail in their check to the school.

1.12 Dream School Manager and Drupal

DSM  is built on top of Drupal, one of the most powerful Content Management Systems (CMS). To avoid being overwhelmed by the entire Drupal menu list, only a portion of the Drupal menu is exposed to “School Admin” under “Administer” menu. The options under “Administer” are advanced operations, and they are not needed for the normal school management. Here are a few Drupal tips when you are managing your school site:

When creating or updating content, there are a few options on the page bottom:

·     Publishing option: “Published” be always checked, “Promoted to front” page should not checked normally. “Sticky at top of list” is not checked normally.

·     URL path settings: you normally don’t need to set this field, except when you create a “Page”, in which case, you can enter a URL, e.g. “about-us”, then the new page is accessible via “[your school site URL]/about-us”.

·     If you want a page to have a menu link, you can use “menu settings” right below the page “Title” field. Enter a “Menu link title”, then select “<Primary links>” if you want the menu link to show up on the top menu. Select “DSM Navigation” if you want the menu show up on the left of the page. The weight field helps to anchor the menu in the list. Small number (negative allowed) makes the menu show the top, larger number makes it move down on the list.

2. Family Accounts

With Dream School Manager, a school consists of family accounts. A family account has a “Family Account Holder” (normally a parent account) and family members (normally children accounts).

Each family member has a family role. Family role is either “Father, Mother, Guardian, Independent or Child”. An “Independent” role is typical used by an adult student who doesn’t have additional “family members”.

2.1. Create a new family account

A guest (visitor) can create a new family account by clicking “Create new account” link on the school home page.

After filling the “New User Account” form, a new family account will be created. The new user becomes the “family account holder” for the new family.

2.2. Add family members

The family account holder can click “Family” menu. This will bring up the “Family=>Members” page. This page has a “Add New Family Member” link. Click this link to add a new family member (normally a student).

2.3. Course Enrollment

To enroll for a course, go to “Family=>Enrollment”.

On the enrollment page, select a family member and courses; then click “Enroll Course”.

2.4. Un-Enrollment (Drop / Withdraw)

On “Family=>Enrollment” page, select the course to un-enroll; then click “UnEnroll”.

Please note once a course is paid for; a normal user may not be able to unroll the course if the “free drop deadline” has passed. A user will need to ask school admin to drop the paid course.

2.5 Pay Tuition Online

A family account holder can choose to pay tuition online if this feature is enabled by the school. Dream School Manager uses Paypal to handle credit payment. Please note that your school may charge a handling fee for online credit card payment, because Paypal charges the school for each credit transaction.

2.6 Family Enrollment and Payment Records

A family member can check the family enrollment and payment records by following “Family=>Records” link.

Different semester records can be displayed by selecting the semester dropdown list.

3. Student Accounts

Each student has a separate user account. If the user is not a family account holder, then his/her account is a regular student account.

A student can view all the family information just like the family account holder. However, a student cannot modify other family member information. By default, a student can enroll for courses; but students cannot drop courses. Students cannot make payments.

4. Visitors

Visitors do not have a user account with the school. A visitor can only view public available data, such as all the courses offered in the current semester.

5. Teachers

5.1 Teacher’s Home Page

When a teacher logs in, he/she will see a “Teacher” menu. Clicking on the menu bring up the teacher page.

The teacher page will display all the courses for the teacher in the current semester.

If there are students enrolled in any courses, then additional information block for the course will show up. Each block will have three tabs: Roster, Grade and Email.

Roster: Shows the class roaster, and each student’s payment status.

Grade: if assignments are given for this course, then the grades for each student will show up under this tab.

Email: allows the teacher to send email to the class.

5.2. Create Assignment and Grade

A teacher can see a “Create Content” menu. On the “Create Content” page, there are “Assignment” and “Grade” links.

On “Create Assignment” page, you need to create a title, filling the description, then select the semester and course. Select the assignment type and grade type.

The correct way to create Grade is go to “Teacher home page” and click on Grade tab. Click on the “X” button to enter a grade for the student.

Frequently Asked Questions

Q: Enrollment for a semester vs. for a year:

A: DSM is semester based: all enrollments are per semester.

However, DSM supports Legacy Enrollment. Each semester can have predecessor, so do the courses. Say CHN-1A is the predecessor for CHN-1B, Spring 09 is the predecessor of Fall 09. There is Legacy registration option in Fall 09 semester. You can turn it on and give it a date, and period, during this so called Legacy registration period, only families who have registered 1A during Spring are allowed to register for 1B. When the period expires, then it's open for all.

Q: I created a course, where it doesn’t show up in course list view?

A: A course has status. A course is only displayed for the current (active) semester, if its status is “Active”.

Q: I have an old course. I don’t want it to show up in the current course list.

A: A course has status. A course is only displayed for the current (active) semester, if its status is “Active”. Set the status to “Inactive”, then the course will not appear in the course list.

Q: I have created some courses. When I looked the course list, they don’t align up on the screen.

A: That’s because some course titles are too long. We STRONGLY recommend use short titles, such as CHN-01, as title. The course description should provide the details.

Best Practices

1. Course Name (Title)

A course title should be brief and short. A long course title will make course list screen too crowded. The details should go into the course description (syllabus).

Examples are:

CHN 01 ?? 01

CHN 02 ?? 02

These two names are not only short. They also use 2 digits number. This is important. Because course listing by default sort by course titles. However, computer will place “CHN 10” before “CHN 2”. If we use two digits number, then “CHN 02” will appear before “CHN 10”.

2. One of the most important pages during school course registration period is the “School admin / Families”.

A good way to use this page is to load all families on the page, then keep the browser open. If you need to access a particular family, then right click on that family, and open a new browser, so you can work on that family. After you are done with one family, make sure you close that new window, so you won’t have multiple family windows open and avoid confusion.

3. Search a family

Load all families on the “School admin / Families” page, then click “Ctrl + F” to search for the last 4 digits of a family phone number (or other search text as you wish, such as email). This normally helps you quickly locate a family.
